We have been spending time working with software developers to have a fully automated, flexible, easy to use management system for our management and mobile operatives to work from. It’s designed improve efficiency and help us give live information to our customers and operatives.
The system now works from quote to invoice and takes care of everything in the middle all on one system, it has made it possible for us to communicate better with our customers in real time, reduce time scheduling cleans, complete jobs more efficiently, track works progress and give detailed reports of works carried out.
The system integrates with desktop applications such as Word, Excel and Outlook, the remote element works with any Smart Phone or Tablet so our operatives can have access to work schedules, job and health and safety information while on the move.
The system also has an electronic sign off module so that when a job has been completed our operatives will ask the customer to sign off the works and if requested carry out a KPI questionnaire, this is then live information for the operations team to review and a copy can be emailed to the client within minutes.
We have just add further module that covers all are audits including Quality, Health and Safety, Environmental, Equipment Inspection and Vehicle Inspections, this has great benefits as the audits can be carried out on site with the clients and once completed an copy emailed to the client before we leave site.

The developers took an board all of our requirements and made the system work for us and our clients’ needs, not the other way round.
All divisions of the business have given great feedback on the system especially the live tracking and I can only see it improving our service delivery.
The mobile PDA system for our operatives is hugely beneficial and been welcomed with open arms, they receive complete job instructions wherever they are, and complete the job sheet recording the details of what was carried out along with photos of completed work, customer name and signature to approve job completion.
We have plans to integrate this further into our Accounts, HR and Equipment Sales divisions in the near future.
